The Opportunity – Warehouse Assistant
Post location: Gaza Field Office – Deir al Balah – Subject to change depending on SC priorities
Contract Duration and Level of Effort: 6 months, with possibility of extension
ROLE PURPOSE:
This role will handle warehouse operations for the emergency response and will supervise and manage stock at the Warehouse, under the supervision of the Warehouse officer.
The main responsibilities of this post will consist of supervising the receiving, warehousing and dispatch of supplies from Save the Children warehouses in Deir Al Balah, Gaza. She/He will ensure good warehousing and distribution practices are implemented, efficient and effective stock management, accurate record keeping and, proper and adequate documentation of stock records.

Role Dimensions: oPt CO is a high complexity country, multi-member interest, with an annual budget of around $40+m, and 100+ staff. Currently the program is experiencing a growth in funding and complexity due to the war in Gaza.
KEY AREAS OF ACCOUNTABILITY:
Receiving:
- Liaise with procurement team and partners to receive shipment notifications and supporting documents timely for proper planning of warehouse space and resources to receive supplies.
- Acknowledge receipt of food and non-food items in good order and condition using appropriate documentation (Waybills, Delivery Notes, SCI Goods-Received-Note and Packing Lists).
- Count and record the quantity on ensure appropriate documentation.
- Inspect the quality of items received and check for damaged items – damaged items will not be accepted and should be returned to the sending party.
- Cross-check quantities and tally with delivery documentation and expected quantities to be received.
- Supervise loading and offloading of trucks.
- Supervise casual workers.
Physical organization of the stores:
- Ensure proper storage of commodities on pallets and that they don’t exceed maximum stacking height.
- Ensure proper organisation and storage of the items by type, shipment, expiry dates and batch numbers.
- Always keep warehouses clean and secure.
- Ensure pest and vermin control measures are implemented monitored daily.
- Separate infested stocks from good stock
Stock Management:
- Ensures daily monitoring of stock levels
- Daily monitoring for expiry dates and quality problems and timely reporting to line manager of issues.
- Daily update of movements of commodities in/out of the warehouse.
- Enter all data timely into stock and bin cards.
- Update warehouse operation data into the Warehouse management software (TIM).
- Assist the Warehouse Officer in preparation of weekly / monthly stock movement and warehouse report.
- Conduct cycle counts and mandatory spot checks in accordance with established procedures & schedules.
- Participate in planning of distributions and requisitioning of supplies by project teams.
Security:
- Check security measures, e.g. locks, windows and building access and report issues or problems timely to line manager and safety and security team.
Record keeping and filing:
- Maintain separate ledgers by commodity and record all stock movements including receipts, dispatches, loans and removal of unfit or infested commodities.
- Enter all stock movement in their respective stock and bin cards.
- Maintain files of all relevant documents including waybills, delivery notes, Goods-received-notes, fumigation management plans, etc.
- Compile report as appropriate
Dispatch of supplies:
- Release stock only based on approved SCI stock release forms.
- Pack commodities according to approved quantities and in proper condition based on means of transportation.
- Prepare waybills and packing list to be sent with each consignment.
- Enter all data of items leaving the store on stock cards and on stock movement and weekly reports.
Provide general stock management support to all projects
- Support SCI project staff on general stock management and distribution of supplies.
- Carry out other tasks as required by line manager.
- Support programme staff to forecast and request for supplies as efficiently as possible to ensure a fully functioning commodity pipeline.
Position holder may be required to outside of normal duties and working hours during emergency responses.
QUALIFICATIONS AND EXPERIENCE
Essential
- College degree in Stores Management, Logistics, Business Administration, or related field.
- At least two years post-qualification experience.
- Previous experience with other local and international NGOs.
- Stock management and logistics experience.
- Understanding of general commodity management best-practices.
- Computer literacy (MS Word, MS Excel, MS PowerPoint).
- Fluency in English and spoken and written Arabic.
- Ability to work in partnership with external key stakeholders.
- Good interpersonal skills.
- Ability to work within a team setting.
- Independence, adaptability and flexibility with good workload management, multitasking and ability to meet tight deadlines
- Excellent communication skills.
Desirable
- Technical experience/knowledge in various types of humanitarian intervention e.g. Health, WASH, Food Security.
- Full or partial completion of professional qualification in Logistics Management e.g. CILT, CIPS.
