Context
The Administrative and Financial Assistant will join the Emergency Desk team, responsible for liaising between country offices and headquarters and providing operational support in the field. He/she will report to the Emergency Desk Management Controller (CDG) and will be in regular contact with the administrative and financial teams of the field missions supported by the desk. The Administrative, HR and Financial Assistant will be required to provide support in the context of mission openings and emergency situations.
The tasks described in this announcement are subject to change depending on ongoing reorganizations and priorities defined by the regional director of the Desk.
Description of the offer
Accounting
- Supports the administrative and financial coordinator in allocating expenses made at headquarters on behalf of country offices
- Participates in monitoring desk costs
- Supports the annual accounting closing
- Uses SAGA accounting software and BC (head office) queries
- Assists the Desk Management Controller in their accounting tasks inherent to the missions
Administrative and financial management
- Supports the ground
- Participates in the verification of budgets of project proposals submitted to donors
- Participates in the verification of budgetary monitoring of missions
- Participates in the verification of financial reports of programs to be submitted to donors
- Assistance in preparing financial audits
- Participates in the classification, archiving and centralization of financial documentation
- Contributes to the analysis of the financial health of country offices and/or ad hoc analyses
Cash management
- Contributes to monitoring payment requests and donor reimbursements in support of the Head Office Treasury Officer
- Contributes to the validation of project partner payments
Human Resources
- Participate in the review of the HR pack sent by the missions
- Supports recruitment for emergency openings
- Participate in payroll review if necessary
- Participates in the implementation and drafting of minimum HR policies within the framework of openings
- Involved in understanding legal frameworks in the event of deployment in a new country
Administrative support (at the request of the regional director of the Desk)
- Internal and external meetings
- Translation of documents
- Certification of official documents (ad-hoc)
- Visa application tracking (ad-hoc)
- Support for desk life
Your profile
- Minimum Bac +3/4 level in finance (University Masters / Business School / BTS) – awareness of the humanitarian sector is an asset
- Proficiency in the Office suite and good command of Excel
- Ability to work on accounting software appreciated
- Ability to work in a team
- Analytical and synthesis skills
- Good command of English (oral/written)
- Autonomy, rigor and versatility
- Ability to learn, remotely, in a team
- Commitment to the principles and work of Solidarités International

- Possibility of teleworking in accordance with the teleworking charter in force and the manager
- 12-month work-study apprenticeship contract
- Remuneration according to current regulations
- Public transport covered 50% by SOLIDARITES INTERNATIONAL
- Meal vouchers at €8.90/day of actual training, with 60% participation from SOLIDARITES INTERNATIONAL
- Leave: 2.0833 CP/month and 1 day of RTT/full month of work
