SHORT DESCRIPTION

Primarily responsible for the day-to-day grant operations, systems and workflow management, providing programmatic and administrative support, for the Center’s grant-giving function. Work closely with Unit Managers and other relevant staff to develop and implement strategies and activities to mobilize resources, with the end in view of raising funds for the Center’s priorities and programs.

RESPONSIBILITIES

  1. Grants administration
    • Develop, manage, implement and monitor all aspects of the grant-giving program and
      processes of the Center throughout the entire grant cycle, from request to close

      • Coordinate and ensure development and delivery of mechanisms
      • Coordinate and assist in correspondence, processing of applications, screening, review and selection, awarding of grants
      • Coordinate monitoring process for active grants, including reminders/notices, grant
        reports, follow ups
      • Track, monitor, report grant performance and impact
      • Coordinate, collaborate with Center staff for grant-related matters (program
        development, technical inputs and reviews, marketing, communications, etc.)
      • Support leadership in meetings, briefings, board presentations, etc.
      • Help administer special purpose funds
      • Prepare, develop reports (progress reports, grant reports, annual reports)
    • Coordinate and manage applicants, grantees and other external audiences to maximize
      understanding of Center’s grants program and processes

      • Market and communicate grants program, in coordination with Comms
      • Serve as point of contact for inquiries, concerns, etc.
  2. Resource mobilization
    • Support Center leadership and staff in grant-related needs of programs and plans
      • Coordinate and manage pre-award activities, such as prospect research and identification, development and submission of proposals and budget
      • Coordinate and manage award acceptance and compliance, such as drafting of agreements and other compliance matters
      • Organize/support briefings, etc.
    • Manage post-award and close-out activities
      • Develop, track, monitor grant accounts, compliance, finances, etc.
      • Manage and coordinate grant modifications, amendments, etc.
      • Assess grant performance and prepare reports, etc.
      • Ensure project close out and accomplishment of final reporting requirements
    • Assist in developing, managing grant engagements
  3. Administrative duties
    • Lead planning, in collaboration with internal and external partners
    • Manage staff and budgets
    • Develop, recommend systems, policies, procedures, standards, etc.
      • Database, files for KM, monitoring, etc.
      • Policies and guidelines for application, selection, review, etc.
      • Templates, toolkits, workflows, etc.

Qualifications

  • Bachelor’s degree in a relevant field such as finance, business administration, public administration, or any related field
  • Certifications in grant management, compliance, and budgeting is an advantage.
  • At least 3-5 years experience:
    • in grant administration, compliance, monitoring, and evaluation
    • in budget management and financial analysis
    • in relationship management and engagement with stakeholders
    • in process improvement and streamlining operations
    • in managing and coordinating administrative duties
  • Familiarity with current best practices and regulations in non-profit grant-giving and management
  • Knowledge of international and local grant funding sources preferred; and
  • Experience within the climate change and disaster risk management sector is an advantage.
